Cold Room Maintenance Schedule & Checklist
Complete preventive maintenance schedule for cold rooms — what to check, how often, and what spares to stock.
Daily (operator, 5 min)
Verify setpoint and actual temperature within ±1°C. Check controller alarm log. Listen for abnormal compressor noise. Inspect door gaskets for ice build-up. Confirm condenser fan running. Log temperature & humidity readings (FSSAI requirement).
Weekly (operator, 30 min)
Wash door gaskets with mild detergent. Sweep room floor and inspect for spills. Clear ice from door threshold. Check evaporator drip tray drain — partial blockage causes water-out into the room. Verify data logger battery & memory.
Monthly (technician, 2 hr)
Brush-clean condenser coils. Check refrigerant charge (sight-glass clarity, sub-cooling). Test high-pressure and low-pressure cutout switches. Inspect electrical panel — torque-check terminals, look for discoloration. Lubricate fan bearings if applicable. Test DG auto-start.
Quarterly (technician, 4 hr)
Pressure-wash condenser. Inspect all evaporator fins — straighten if combed flat. Test defrost cycle manually. Calibrate thermostat against NABL-traceable reference thermometer. Check door cam-lock tension. Inspect insulation for visible deformation. Clean drain pan and drain line with anti-bacterial flush.
Annual (engineer, 8 hr)
Compressor oil change (or oil analysis report). Replace filter-drier. Recover, recharge, and weigh refrigerant. Megger test motor windings. Vibration analysis on screw/recip compressors. Re-torque all electrical connections. Replace door gaskets if compression-set >25%. Full temperature mapping (9-point) with calibrated sensors. Update O&M log and AMC report.
Critical spares to stock
For every operational cold room: door gasket (1 set), defrost heater elements, evaporator fan motor (1 spare), contactor & overload relay matching compressor, refrigerant cylinder (matched grade), filter-drier, sight-glass, thermostat sensor, fuses. For multi-room facilities: spare condensing unit module, oil for compressor model, ammonia or refrigerant gauges, recovery pump.
Red flags requiring immediate action
Compressor short-cycling (<10 min run): low charge, dirty condenser, or oversized for current load. Ice on suction line: liquid floodback — fix before compressor damage. Room temperature drift >2°C: door gasket, defrost stuck, fan failure, or refrigerant leak. Visible oil at fittings: leak point. Door not closing flush: hinge or floor settlement.

Comprehensive (parts + labour) for mission-critical pharma, dairy, export cold rooms. Non-comprehensive (labour only, you pay parts at cost) for general agri cold storage.
Can in-house staff do maintenance?
