Cold Room Buying Guide (India, 2026)
A practical 10-step framework for buying a cold room in India — from defining your storage profile to commissioning, with a full vendor-evaluation checklist.
1. Define your storage profile
Begin with the four primary variables that drive every downstream engineering decision: (a) product mix and respective storage temperatures, (b) daily throughput (MT in / MT out), (c) target storage duration, and (d) site constraints (power phase, water availability, civil footprint). A single-commodity potato cold store at +2°C with 90-day storage demands a very different design than a multi-product HoReCa walk-in with daily turnover. Document your peak intake month — most undersized cold rooms in India fail during the harvest peak, not at average load.
Quantify product moisture, respiration rate (apples 5–10 mg CO₂/kg·hr, mushrooms 28–44 mg CO₂/kg·hr at 0°C), and packaging type. These numbers feed directly into ASHRAE heat-load calculations.
2. Heat load engineering, not catalogue sizing
A credible vendor will produce a line-item heat load: transmission load (W) = U × A × ΔT through walls/ceiling/floor; infiltration load from door-opening frequency; product load from sensible + latent cooling and respiration; internal load from lights, fans, and personnel; and a safety margin (typically 10–15%). Add 30% for blast freezers. Reject any quote that proposes a refrigeration ton (TR) without showing this calculation — it almost always means oversizing (wasted CAPEX + short-cycling) or undersizing (chronic temperature drift).
3. PUF panel specification
Standard thicknesses in India: 60 mm (chillers +2 to +10°C), 80 mm (general cold storage 0 to +5°C), 100 mm (freezers 0 to -18°C), 125–150 mm (blast freezers -25 to -40°C). Density should be 40 ± 2 kg/m³ — under 38 kg/m³ panels delaminate within 3 years. Skins: PPGL (pre-painted galvalume) for general use, SS304 for pharma/dairy/food contact, GI for back-of-house. Insist on a cam-lock joint with EPDM gasket — tongue-and-groove without cam-lock leaks vapour over time.
4. Refrigeration system
For rooms under 30 TR, scroll compressors with R-404A / R-32 are standard; above 30 TR, semi-hermetic reciprocating or screw compressors become viable. Daikin, Bitzer, Copeland, and Emerson dominate the credible compressor market. Evaporator selection should target a ΔT (room air − coil) of 6–8K for high-humidity rooms (fruits, leafy vegetables) and 8–10K elsewhere — narrower ΔT preserves product moisture but raises CAPEX. Always specify hot-gas defrost for sub-zero rooms and electric defrost for chillers.
5. Door, floor, vapour barrier
Door type follows traffic: hinged for low traffic, sliding for forklift access, sectional for loading docks, with strip curtains as a secondary infiltration barrier. Floor: insulated PUF floor with anti-skid checker plate for rooms below 0°C (prevents soil heave); RCC sandwich with XPS for ambient-temperature rooms. A continuous vapour barrier on the warm side is non-negotiable — vapour migration is the #1 cause of long-term PUF failure.
6. Power, backup, controls
Confirm 3-phase availability at site, voltage stability (Indian rural sites often see ±15% swings — specify a servo stabiliser). Sub-zero rooms must have DG backup; a 12-hour outage at -20°C will permanently damage frozen inventory. Specify a PLC or microprocessor controller with remote monitoring, alarm SMS, and temperature/humidity data logging (FSSAI and pharma audits require 12-month logs).
7. Subsidies
Map your project to the right scheme before signing: NHB (35% capital subsidy, max ₹50 lakh per cold storage, horticulture), MIDH (35–50%, north-east & hill states higher), PMKSY-Kisan SAMPADA Yojana (35% for integrated cold chain), NABARD Agri-Infra Fund (3% interest subvention), and state horticulture missions. UP, MP, Maharashtra, and Karnataka offer stackable state subsidies. A vendor who can prepare your DPR saves 4–6 months.
8. Vendor evaluation checklist
Verify (a) GSTIN and 3+ years of audited financials, (b) at least 5 completed reference projects in your capacity range — visit one, (c) in-house PUF panel manufacturing or a transparent panel supplier, (d) OEM authorisation from Daikin/Bitzer/Copeland (ask for the letter), (e) AMC team size and city presence, (f) line-item BOQ (not lump sum), (g) written guarantee on temperature pull-down time and energy benchmark.
9. Commissioning & handover
Commissioning is not 'switch it on'. Demand: (a) 48-hour empty-room pull-down test reaching setpoint within OEM-spec, (b) 7-day stability run with data logger, (c) temperature mapping at 9 points (corners + centre) per WHO PQS protocol, (d) refrigerant charge weight certificate, (e) electrical earthing test report, (f) handover file with as-built drawings, O&M manual, and warranty cards.
10. AMC & lifecycle
Budget 2–3% of CAPEX per year for AMC. Comprehensive AMC (parts + labour) costs 4–5%. Critical replacements over a 10-year life: compressor (1×), evaporator fan motors (2×), defrost heaters (1×), door gaskets (3×). A cold room with proper AMC runs 15+ years at OEM efficiency; without AMC, energy consumption rises 25–40% by year 5 from coil fouling alone.
